For Families

Your Journey with LEAPS

Beginning services for your child is an important decision, and we understand the process can feel overwhelming. At LEAPS, our dedicated Intake Team is here to guide you every step of the way. From your initial inquiry through the start of therapy, we are committed to making the process as smooth, transparent, and supportive as possible.

Intake Process

  1. Contact Our Intake Team

Families may be referred by their child’s primary care provider, pediatrician, psychologist, or another healthcare professional. Parents are also welcome to contact LEAPS directly to request services.

To begin the intake process, families may:

Once we receive your information, a member of our Intake Team will contact you to discuss your child’s needs, gather demographic and insurance information, answer your questions, and explain the next steps.

  1. Insurance Verification & Referral

Our Intake Team will verify your insurance benefits and determine the requirements needed to begin services.

Many insurance plans require both a provider referral and authorization before LEAPS can conduct the initial Functional Behavior Assessment (FBA). If these are required, our Intake Team will coordinate directly with your physician and insurance company to obtain the necessary referral and authorization on your behalf.

During this step, families will receive access to the secure LEAPS CentralReach Client Portal, where intake paperwork can be completed electronically. If paperwork has not been completed prior to the assessment appointment, families may complete it at the clinic with assistance from one of our Clinical Administrators. All required intake forms must be completed before meeting with the BCBA.

Once the required referral and authorization have been received, our Intake Team will contact you to schedule your child’s assessment.

  1. Comprehensive Clinical Assessment

Your child’s assessment begins with a Functional Behavior Assessment (FBA) completed by a Board Certified Behavior Analyst (BCBA).

The assessment may take place in your home or at one of our LEAPS clinics and typically lasts between one and two hours.

During the assessment, the BCBA will observe your child’s communication, play, learning style, social interaction, adaptive functioning, and behavioral needs while discussing your child’s developmental history and your family’s goals.

This comprehensive evaluation provides the clinical foundation for developing an individualized treatment program based on your child’s strengths, needs, and medical necessity.

  1. Individualized Treatment Planning

Following the assessment, your BCBA carefully reviews all assessment findings, observations, standardized assessment results, and caregiver input to develop an individualized treatment plan.

Your treatment plan outlines:

  • Individualized treatment goals
  • Recommended therapy hours based on medical necessity
  • Teaching strategies and treatment methodologies
  • Behavior reduction and skill acquisition programs
  • Parent training recommendations
  • BCBA supervision and progress monitoring

Your BCBA will review the treatment recommendations with your family, answer any questions, and submit the treatment plan to your insurance company for authorization.

  1. Scheduling Services

Once treatment has been authorized, our Scheduling Team will work closely with your family to identify a schedule that best meets your child’s needs.

Scheduling is based on both your family’s availability and the availability of our clinical staff. Once a schedule has been established, your child will be matched with a qualified Behavior Technician and assigned a BCBA who will oversee treatment and provide ongoing clinical supervision.

  1. Therapy Begins

Every successful therapeutic relationship begins with trust.

During the first several sessions, our clinical team focuses on building rapport by getting to know your child, exploring their interests, identifying what motivates them, and creating positive learning experiences.

As your child becomes comfortable with their treatment team, individualized teaching programs are introduced based on the goals outlined in the treatment plan. Throughout services, your BCBA continuously monitors progress, collaborates with your family, supervises the treatment team, and updates programming to ensure your child continues making meaningful progress.
